This policy outlines the conditions under which Architex Online will issue refunds to clients. By engaging our services, you agree to the terms of this policy.
1. General Principles

Non-Refundable Work: Architectural design is a service-based, creative, and time-intensive process. Once a phase of work is completed, accepted, or invoiced, the associated fees are generally non-refundable because they represent the compensation for professional time, expertise, and intellectual property already expended.

Hourly Fees: Fees for services rendered on an hourly basis are non-refundable once the time has been documented and the invoice has been issued or paid.

Calculation of Refund: Any eligible refund will be based on the difference between the total amount paid by the client and the value of services rendered up to the date of project termination or request for refund, as determined by our standard hourly rates and contractual agreements.
2. Refunds by Project Phase
Refund eligibility is tied to the typical phases of an architectural project:

No refund once the SD phase is completed and approved by the client.
Design Development (DD)Refining approved schematic designs, selecting major materials, and coordinating initial consultants (if applicable).Not Refundable. Significant design and coordination work has been completed and documented.
Construction Documents (CD)Preparation of detailed drawings and specifications for permitting and construction.Not Refundable. This phase represents substantial production and legal liability work.
Bidding/Negotiation & Construction AdministrationAny fees paid for these later stages are Not Refundable once the services have commenced.
3. Client-Initiated Termination
If the client chooses to terminate the project at any stage:

Prior to Starting Work: If a retainer or deposit is paid but no work has commenced (e.g., no time has been logged, and no administrative costs have been incurred), a full refund of the retainer/deposit will be issued, less any third-party fees incurred (e.g., credit card processing fees).

During a Phase: The client will be invoiced for all professional services rendered up to the date of written termination notice. Any overpayment (amount paid exceeding services rendered) will be refunded. If a balance is owed, the client is responsible for immediate payment.
4. Practice-Initiated Termination
If Architex Online terminates the agreement due to unforeseen circumstances, a breach of contract by the client (e.g., non-payment), or professional reasons:

The client will be invoiced for all services rendered up to the date of termination.

Any remaining balance of fees paid by the client will be fully refunded within [Number] business days of termination.
5. Requesting a Refund
All requests for a refund must be submitted to The Managing Director in writing via email to [Info@ArchitexOnline.ie or certified mail. The request must clearly state the reason for the refund and the amount being claimed.
